Pardot/Salesforce

Pardot is the maker of a web marketing automation suite. We use Pardot’s suite to gather information about visitors to our website. Personal information is stored in Pardot/Salesforce if our visitors complete a form for example for registration to events, contact/request forms or for subscription to our email communications.  Non-personal information such as IP address, operating system, web browser, and pages visited is gathered by Pardot.

Additionally we use Google Analytics which tracks your interaction with our website and stores non-personal information about IP address, operating system, web browser, and pages visited. Also collected is information about demographics of the visitor, the device used, where the visit originated.

Data privacy notice around recruitment

2. Type of data 

As part of the recruitment process, the following personal data is being gathered & processed:

  • Name and contact details 
  • Preferred position and location 
  • CV, Cover letter & photos provided by the candidate 
  • Official documents such as work permit, copy of the driver license, ID card or passport 
  • Education level and qualifications 
  • Previous work experience & background 
  • Skills such as language, technical skills 
  • Interview notes, test results & references checks 
  • Salary expectations 

3. Data sources

Stored data is provided by candidates themselves by applying on the ABSI website or by email/phone or by third parties such as recruitment agencies we have a formal collaboration agreement with. Data also includes notes taken during meetings at ABSI, conversations with the candidates, tests done by the candidate and / or reference check. 

4. Data storage 

Received data will be stored in our ABSI recruitment system and in inboxes of the team members involved in the recruitment & selection process Candidate data is removed upon request or after 5 years of inactivity since registration. 

5. Purpose of processing & using personal data 

As part of the recruitment process, applicant information is used and processed for solely employment purposes at ABSI. The personal information can be related to an open application or one or several open positions. ABSI may use external third parties as service providers for processing personal data. Third parties may additionally support ABSI in the recruitment processes. 

6. Candidates’ rights 

Candidates have the right to be forgotten, to rectify or access their data, to restrict processing, to withdraw consent and to be kept informed about the processing of their data. Candidates can update their data or apply any of these rights by contacting the HR Manager or emailing support@absi.digital 

7. Location of the data 

Data will be located within the European Union. 

8. Data securisation 

Organizational and technical security arrangements are in place to protect any unauthorized access to personal data. All computer equipment and terminals are protected with passwords and have encrypted hard drives. A number of internal policy are in place like clean desk & clean screen to secure data. All professionals accessing the information are bound by confidentiality obligations.
